Set Appointment Types

In this topic, you will learn how to configure the types of appointments used in the Schedule Tab.

What Are Appointment Types

Each appointment scheduled has an appointment type assigned to it. The appointment type defines a number of important pieces of information about the appointment:

  • Description
  • Typical duration in minutes
  • The kind of appointment, for example whether it is an evaluation or a therapy appointment
  • The default status assigned to the appointment type when it is created

The Edit Settings Dialog Box

You configure the presentation of schedules in the Schedule tab using the Appointments tab of the Edit Settings Dialog Box:

Setting the Default Appointment Type

By default, all new appointments created are the Standard Visit type. However, you can select a different appointment type to be the default for all new appointments.

Use the following procedure to set the default appointment type:

  1. From the Settings menu, select Clinical Settings. The Edit Settings dialog displays.
  2. Click the Default Appointment Type arrow to display a list of appointment types.

  3. Select an appointment type that will become the new default appointment type.
  4. Click OK to close the Edit Settings dialog and save your changes.

Editing Existing Appointment Types

Use the following procedure to edit the existing appointment types you can schedule in the Schedule tab.

  1. From the Settings menu, select Clinical Settings. The Edit Settings dialog displays.
  2. Select the Appointments tab. Locate the Appointment Types area, which is in the upper-left portion of the dialog.
  3. Edit the name of the existing appointment types by highlighting the name of that appointment type and editing the contents of that cell in the list.
  4. Edit the default duration of an existing appointment type by highlighting the duration and entering a new time in minutes for that appointment type.
  5. Edit the category of an existing appointment type by clicking the cell in the Category column for that appointment type to display a list of categories. Then select the desired category from the list.
  6. By default, the Show check box is selected, which allows this appointment type to appear as a selection when creating new appointments. If you no longer want this appointment type to appear when scheduling appointments but cannot delete the appointment type because appointments using that type have already been scheduled, clear the Show check box.
  7. Edit the default status for an appointment type by clicking the cell in the Default Status column for that appointment type to display a list of choices. Then select the desired default status from the list.
  8. Click OK to close the Edit Settings dialog and save your changes.

Adding Appointment Types

Use the following procedure to add a new appointment type:

  1. From the Settings menu, select Clinical Settings. The Edit Settings dialog displays.
  2. Select the Appointments tab. Locate the Appointment Types area, which is in the upper-left portion of the dialog.
  3. Add a new appointment type by clicking Add in the lower-left portion of the Appointment Types area. A new row appears in the list.
  4. Enter a name for the appointment type in the Type column.
  5. Enter the duration for this appointment type in minutes in the Duration column.
  6. To select a category for this appointment type, click the Category arrow to display a list of choices. Then select the desired cagetory from the list.
  7. Clear the Show check box if you no longer wish to use this appointment type but cannot delete it due to existing appointments of that type in your database.
  8. Select a default status for this appointment type by clicking the Default Status arrow to display a list of choices. Then select the desired default status from the list.
  9. Click OK to close the Edit Settings dialog box and save your changes.

Deleting Appointment Types

Use the following procedure to delete an existing appointment type:

  1. From the Settings menu, select Clinical Settings. The Edit Settings dialog displays.
  2. Select the Appointments tab. Locate the Appointment Types area, which is in the upper-left portion of the dialog.
  3. Delete an existing appointment type by selecting one from the list of appointment types and clicking Delete in the lower-left portion of the Appointment Types area. If there are no currently scheduled appointments of the type being deleted, the appointment type is removed from the list.

    Note: If there are appointments currently scheduled of the type being deleted, a message displays. Click OK to dismiss this message. The selected appointment type is not deleted.

  4. Click OK to close the Edit Settings dialog and save your changes.
