Appointment Status Icons

The table below provides a list of icons that you may see associated with an appointment while on the Schedule F3 tab. These icons can show on the appointment block itself or on the left side of the screen beneath the Calendar when an appointment is selected.

Icon Description
Lists the patient's home phone number if it has been entered in the Client Editor.
Lists the patient's work phone number if it has been entered in the Client Editor.
Lists the patient's cell phone number if it has been entered in the Client Editor.
Case description as displayed in the Client Editor.
Name of the referring MD. If this is blank, a referring MD has not been selected.
Indicates a balance is due.
Indicates there is an issue that needs to be addressed. Issues listed can also be found on the patient, clinical, or claim issue listing.
A task that has not yet been completed is associated with the appointment or patient.
Payer name listed for the visit. If this is blank, the patient does not have insurance.
Email or text reminder has been sent.
Reminder telephone call has been made. This can be done manually by right-clicking the appointment and selecting Reminder Made.
Arrived appointment has been charted and signed by a therapist.
A note has been added to the appointment or the Client Editor.

The table below provides a list of icons that you may see associated with an appointment while on the Chart F4 tab. These icons are located below the Case name shown at the top of the screen and on the Client Appointment line to the left of the screen, beneath the Calendar.

Icon Description
Evaluation appointment type has been signed.
Standard appointment type has been signed.
Appointment is still in Scheduled status and documentation has not been started.

Appointment is still in Scheduled status and documentation on the patient has started.

*It is best practice to Arrive the patient prior to charting the visit.

Arrived appointment that has not been signed off.
Arrived appointment but is waiting for co-sign.
Appointment has been cancelled.
Action needs to be taken on patient's case information.
A precaution has been added to the patient's case.
